Overview
The Pre-Submit a Job page is where you start a new upfit job by choosing a vehicle that Holman has already sent us. The page has two states:
- Before you pick a vehicle: The full page shows the Holman Vehicles list
- After you pick a vehicle: The page splits in two — vehicle details on the left, submission form on the right
Only new vehicles appear. The list only shows Holman vehicles that have not yet been submitted as a job. Once you (or anyone else) submits a job for a vehicle, it is automatically removed from this list. If you can't find a vehicle, it may have already been submitted — check All Jobs to confirm.
Step 1 — Open the Pre-Submit Page
- In the left sidebar, open the Jobs section
- Click Pre-Submit a Job
You'll see a list of Holman Vehicles with columns for PO Number, VIN, Year, Make, Model, OrderType, Order Date, and Last Synced.
Step 2 — Find the Vehicle
You can find the vehicle two ways:
Search
- At the top of the list, enter the PO Number or VIN
- Click the blue Search button
Browse and sort
- Click any column header to sort the list
- Use the Show per page dropdown at the bottom to display more rows
Can't find it? Two possibilities:
- The vehicle was already submitted by someone else (it disappears from this list once a job is created for it). Check All Jobs to confirm.
- The vehicle hasn't been synced from Holman yet. The list syncs 4 times a day (6:30 AM, 9:30 AM, 12:30 PM, and 3:30 PM CST). Wait for the next sync and check back.
Step 3 — Select the Vehicle
- Click the blue PO Number of the vehicle you want to submit
- The page splits in two:
- Left side: Vehicle details (PO Number, VIN, Year, Make, Model, Order Type, Order Date, etc.) plus a Fetch PO Document button and a BACK button
- Right side: The correct submission form, pre-filled with the vehicle's info
The form that appears depends on the vehicle's OrderType:
- Factory → The Submit a Job – ACERTUS form loads
- Stock, Direct, or any other type → The regular Submit a Job form loads
Wrong vehicle? Click the BACK button on the left to return to the Holman Vehicles list and pick a different one.
Step 4 — Review the Pre-Filled Fields
To save you time, the form is automatically filled in with details from the vehicle you selected:
- PO Number
- VIN
- Year
- Make
- Model
Double-check these values against the vehicle details on the left side before moving on.
About the "STOP and check current jobs" note: This warning is about the PO Number field's autocomplete. As you type (or if the PO is pre-filled), the field checks if that PO Number already exists in the system. If a matching PO appears as an autocomplete suggestion, it means a job has already been submitted for that vehicle — stop and check All Jobs instead of submitting a duplicate. If nothing appears in the autocomplete, the PO is new and safe to use.
Step 5 — Fill in the End User
- In the End User section, click the dropdown and pick the end user
- If the end user isn't in the list, click the Add New End User button and enter their info
- Once an end user is selected, pick the correct Address and Email
- Confirm the email in the Confirm Email field
Step 6 — Complete the Rest of the Form
- Fill in any remaining required fields (marked with *)
- Upload any required documents or photos if prompted
- Review everything one more time against the vehicle details on the left
- Click the Submit button at the bottom of the form
Once submitted, the job moves into the queue for the team to review and confirm.
Bonus — Fetching the PO Document
The Fetch PO Document button on the left side pulls the PO Document directly from Holman and opens it in a new tab. This requires the PO Document Fetcher Chrome extension. See the PO Document Fetcher Setup guide for install instructions.
Troubleshooting
I can't find my vehicle in the Holman list
Two likely reasons:
- It was already submitted. The list only shows Holman vehicles that haven't been turned into a job yet. Once anyone submits a job for a vehicle, it disappears from this list. Check All Jobs to see if the vehicle is already there.
- It hasn't synced yet. The Holman sync runs 4 times a day (6:30 AM, 9:30 AM, 12:30 PM, and 3:30 PM CST). Wait for the next sync.
If neither applies, contact support.
What does "If PO Number shows up, STOP and check current jobs" mean?
The PO Number field on the submission form has autocomplete. As you type (or if the PO is pre-filled), the field checks against existing jobs. If a matching PO Number appears as a suggestion, that PO is already in the system — someone has already submitted a job for that vehicle. Stop and look it up in All Jobs instead of submitting a duplicate.
How often does the Holman Vehicles list update?
The list syncs 4 times a day on a set schedule: 6:30 AM, 9:30 AM, 12:30 PM, and 3:30 PM CST. Each sync pulls the latest orders from Holman and only writes to records that are new or have changed. The Last Synced column shows the last time that specific vehicle's record was added or updated.
Why does Last Synced show days ago on some vehicles?
That's normal. The sync only updates a record when something about that vehicle has changed on Holman's side. If a vehicle's details haven't changed in days, its Last Synced timestamp will stay the same — even though the sync itself is still running 4 times a day.
Search isn't finding my vehicle
You can only search by PO Number or VIN. If you only know the Make or Model, clear the search and scroll through the list (you can click column headers to sort or use Show per page to see more).
The submission form doesn't appear after I click a PO Number
Refresh the page and try again. The form only appears after a vehicle is selected. If the issue persists, the vehicle details may not have loaded — click BACK and try selecting the vehicle again.
The pre-filled information is wrong
You can edit any pre-filled field before submitting. If the vehicle details from Holman look incorrect, contact support so we can verify with Holman.
Which form should I use — regular or ACERTUS?
You don't have to choose — the correct form loads automatically based on the vehicle's OrderType. Factory orders use the ACERTUS form; Direct (and other types) use the regular Submit a Job form.
Can I submit a job without pre-selecting a vehicle?
Yes. If the vehicle isn't in the Holman list yet, you can use the Submit a Job or Submit a Job – ACERTUS pages directly from the sidebar and enter the details manually.
How do I go back to the list after picking a vehicle?
Click the BACK button on the left side (below the vehicle details).
